To: All Staff From: Corin Stanley-Jenkins Date: 01/05/2024 Good day all, First, I would like to start by saying thank you. This past year and a half have been extremely stressful and overwhelming for us all. Having to change and conform to new guidelines and regulations has not been easy. The COVID-19 pandemic has taken the world by storm but thanks to all of you, we were able to keep it together and push through. There are few things I would like to go over with you all. Staffing has been difficult due to the COVID-19 virus and has left you all working extra hours. To show our gratitude and appreciation, the department managers and myself have all agreed to give you all a 3% wage increase and two (2) $500 bonuses. The wage increase will go into effect at the beginning of the next pay period. It may not be much, we believe this is a step in the right direction. We are still understaffed, so within the next 3 months all of management will be putting together a job fair hiring event. We are looking to fill clinical, patient access representatives, and janitorial positions. If you know anyone who may be seeking employment, please spread the word. We will be offering a $200 referral bonus for those who referred individuals to our organization. Please keep in mind, you will be eligible for the referral bonus when the individual gets hired and stays for 90 days. We have also discussed partnering with external staffing agencies so they can assist in hiring employees on their end and having them work with us in a temporary to permanent position. Our goal is to get the organization fully staffed, so everyone would be able to utilize their paid time off and any sick days. In the meantime, please be mindful that we are still understaffed and we will still need all of your help to keep the organization running. Patient care is still one of the top priorities. Given the CDC guidelines and us being a healthcare organization, the department managers and I have been discussing changes that will benefit patient care along with protecting patients and staff. Over the next few months, we will be introducing a patient portal system along with telehealth appointments. COVID-19 is still on the rise, so this new system will give patients the option and ability to continue to receive patient care without having to leave their home. Given that we are a mental health care facility, under certain circumstances patients will need to come into the office for an in-person visit but the goal is to keep that down to a minimum. We have been working with IT to integrate this system into our current electronic health records. Please be on the lookout for updates and changes. There will be work modules posted to the organization's home page which will provide steps on how to navigate the new scheduling system as well as, how to assist patients with creating a patient portal.
As stated earlier, some appointments will not be able to be virtual and patients will need to come in- person. Those appointments are for new patients and patients who are requesting refills for controlled- substance medications (if they have not had an appointment within the last 3 months). For patients who are able to receive care virtually, both registration and clinical staff should be reviewing the appointments at least one (1) week prior to ensure all patient information, such as insurance, address, contact information, and pharmacy is updated. On the day and time of the patient's appointment, clinical staff will be calling the patient to verify if there are any changes to their medical history. Once completed, the provider will be notified that the patient is ready to be seen. The organization will ensure that providers have the equipment needed when seeing a patient virtually. This will include desktops with a webcam, headphones, and if needed, a microphone set. While these changes will be taking place in the next couple months, we ask that staff begin informing patients of the change. We will be putting together a Frequently Asked Questions (FAQ) guide for you all to provide to patients as they come in for their appointments. I truly appreciate the hard work and effort you all have shown and with these new changes we are extremely hopeful to have things back up and running more smoothly and efficiently.
